Use of IT and Communications Tools

This Policy specifies the rules and conditions that the employees must respect regarding the use of IT and communications tools belonging to Boulart and made available to the employees in the context of their work.
All the employees who use the IT and communications tools belonging to Boulart consent by their use to respect the rules and conditions established in this Policy.
Definitions
“IT and Communications Tool”: desktop computer, laptop computer, tablet, Internet, servers, email system, collaboration tools, cellular telephony, Voice over IP telephony, printers, media of any kind (compact disk, USB key, etc.) and the software belonging to the employer.
General statements
The IT and Communications Tools must be used in the context of the performance of the duties or for professional purposes in relation to the duty performed.
Rule for use of it and communications tools
The employees, in the context of their duties, may use the IT and Communication Tools to:
Authorized use
Performing any work pertaining to their duties;
Consulting websites pertaining to their duties.
Prohibited use
- Performing any work not pertaining to their duties;
- Consulting websites not pertaining to their duties.
- Accessing confidential information illegally;
- Introducing problems or computer viruses intentionally;
- Installing software or packages not authorized by the employer;
- Engaging in commercial activities pertaining to a business and not to the employer;
- Participating in computer piracy;
- Usurping the identity of another person during the use of the Employer’s IT and Communications Tools;
- Intercepting, monitoring or recording a communication that does not concern them;
- Transmitting information that violates the intellectual property and access to information legislation;
- Creating, downloading and distributing explicit sexual information, games, videos, software or files with verbal or visual content that offends public decency;
- Using in Boulart’s name, without limitation: emails, blogs, social media, videos and photo sharing platforms, except with the special authorization of the general management.
Personal use
The use of IT and communications tools for personal use is permitted on condition that this use does not hinder the employee’s performance and does not result in any additional cost for the employer. This use must respect the directives of this Policy and must at no time cause harm to the employer.
Access to the remote network
The general management may authorize an employee to access the IT network remotely.
This employee is responsible for its use and must ensure that no one can use his or her access IDs. This privilege is granted to the employee only to carry out his or her work.
Id and password
Each employee is responsible for the use of their IDs or passwords and must ensure their confidentiality. They must not disclose them to anyone.
Asset security and integrity
Each employee must act to ensure the security and integrity of the IT and communications tools. They must therefore use them prudently, scrupulously and responsibly, notably to prevent equipment theft and breakage, introduction of computer viruses or server congestion.
Any situation likely to threaten the security or integrity of the IT and communications tools must be brought to the attention of IT management without delay.
Replacement or purchase of equipment
Every device must be purchased or replaced only as needed, according to the expiration date or at the request of the IT Supervisor or Director.
Rights and obligations of the employer
At any time, the employer reserves the following rights:
Control and verification
The employer reserves the right to verify the use of the IT and Communications Tools by the employees, notably if such use respects the directives of this Policy and normal and acceptable professional ethical practices.
Control of access
The use of IT and Communications Tools is a privilege and not an acquired right. The authorization to use IT and Communication Tools may be revoked at any time. Boulart also reserves the right to limit access to websites at any time.
Disciplinary and administrative penalties
An employee who infringes this Policy will be liable to severe disciplinary measures, up to dismissal. Employees will also be held liable for all damages their behaviour will have caused to the employer.
Any violation of the rules of use of IT and Communications Tools may also result in the suspension, modification or revocation of the privilege of access to these tools.
